JRC Privacy Policy

1. Purpose

This Privacy Policy of the Japan Radiology Congress (hereinafter referred to as "JRC") aims to protect and appropriately utilize the personal information of all individuals involved in JRC’s activities, including but not limited to publications, websites, and other media issued by JRC (hereinafter referred to as "Information Media"), as well as academic conferences, exhibitions, and related events supported and co-hosted by JRC (hereinafter referred to as "Academic Conferences and Exhibitions").

2. Definition of Personal Information

"Personal Information" refers to personal information as defined in Article 2, Paragraph 1 of the Act on the Protection of Personal Information of Japan (hereinafter referred to as the "Personal Information Protection Act"), which is provided to JRC in connection with its Information Media, Academic Conferences, Exhibitions, and other JRC activities.

3. Acquisition and Purpose of Use of Personal Information

JRC shall acquire and use personal information by lawful and appropriate means, and only within the scope of the purposes listed below.
This shall not apply where prior consent has been obtained from the individual.

  1. To respond to and handle inquiries from the individual who provided the personal information (including identity verification)
  2. To manage participation registration, identity verification, and administration for Academic Conferences and Exhibitions
  3. To prevent and respond to fraudulent or improper activities
  4. To share information among JRC member organizations
    (JRC member organizations refer to the Japan Radiological Society (JRS), the Japan Society of Radiological Technology (JSRT), the Japan Society of Medical Physics (JSMP), and the Japan Medical Imaging and Radiological Systems Industries Association (JIRA))
  5. To provide and operate member services within JRC member organizations
  6. For purposes incidental to the above purposes of use
4. Joint Use of Personal Information

JRC may jointly use personal information within the scope described below in order to achieve the purposes stated in "3. Acquisition and Purpose of Use of Personal Information."

    JRC and its member organizations: JRS, JSRT, JSMP, and JIRA

    The same purposes as stated in "3. Acquisition and Purpose of Use of Personal Information"

5. Provision to Third Parties

JRC shall not provide acquired personal information to third parties except in the following cases:

  1. When the individual has given consent
  2. When providing personal information to contractors (including subcontractors) within the scope necessary to perform outsourced operations related to Academic Conferences and Exhibitions supported by JRC
    In such cases, JRC shall require appropriate handling of the personal information and exercise proper supervision over the contractors
  3. When providing personal information to contractors within the scope necessary to produce Information Media issued by JRC
    In such cases, JRC shall require appropriate handling of the personal information and exercise proper supervision over the contractors
  4. When providing personal information obtained through entrusted operations to JRC’s contractors for the purpose of performing such operations
  5. When required by laws or regulations
  6. When necessary to protect the life, body, or property of an individual and obtaining consent is difficult
  7. When cooperating with national or local government authorities in the execution of their duties
6. Management of Personal Information
  1. JRC shall take necessary and appropriate security measures, including the maintenance and management of security systems, to prevent unauthorized access, loss, damage, falsification, or leakage of personal information in its possession, and shall manage such information appropriately.
    However, JRC shall not be held responsible for damages caused by unauthorized access or other incidents despite having implemented reasonable security measures.
  2. JRC shall enter into outsourcing agreements containing confidentiality clauses with contractors and endeavor to properly manage and supervise them to ensure appropriate handling and protection of personal information, and to prevent leakage, re-provision to third parties, disclosure, or use beyond the purposes stated in "3. Acquisition and Purpose of Use of Personal Information."
8. Disclosure, Correction, and Suspension of Use of Personal Information

Requests for correction, addition, deletion, suspension of use, erasure, or suspension of provision to third parties regarding personal information shall be handled promptly after necessary investigation, provided that the request is confirmed to have been made by the individual concerned, unless special procedures are stipulated by laws or regulations.
Necessary procedures will be handled through the inquiry contact listed in "10. Contact Information."

9. Changes and Revisions to the Privacy Policy

JRC may revise or amend this Privacy Policy, including the purposes of use of personal information, without prior notice.
Any such changes or revisions will be communicated to JRC member organizations and published on the JRC website or through other appropriate means.
